QuickBooks Integration

'Connect QuickBooks to Supervity, manage invoices, payments, customers, vendors, and expenses in operators and workflows.'

This guide explains how to connect QuickBooks to Supervity, what data is available after connection, how operators can use QuickBooks data and actions within workflows, and how to remove the integration when needed.

Overview

The Supervity QuickBooks integration allows your workspace to securely connect QuickBooks Online as a governed platform capability.

Once connected, operators and workflows can use QuickBooks data and actions to manage invoicing, record payments, sync customer and vendor records, update expense ledgers, orchestrate purchase orders, and track accounting structures.

With the QuickBooks integration, Supervity can:

  • Manage customer accounts
  • Manage vendor profiles
  • Synchronize products and services
  • Orchestrate billing invoices
  • Manage supplier bills
  • Document payment records
  • Structure supplier logistics
  • Track expenditures
  • Review account parameters

All QuickBooks access is governed through Supervity's security, permissions, and audit controls.

Prerequisites

Before connecting QuickBooks, ensure you have:

  • An active Supervity workspace
  • An active QuickBooks Online account
  • Permission to authorize third-party applications on your QuickBooks Online account

Adding the QuickBooks Integration

Follow these steps to connect QuickBooks to Supervity. If you encounter any issues during setup, refer to the Troubleshooting section of this guide.

Step 1: Open Integrations

  1. Log in to Supervity.
  2. From the left navigation bar, click the Integrations icon.

This opens the Integrations page, where all available integrations are listed. Connected integrations and available integrations can both be managed from this page.

Step 2: Select QuickBooks

  1. Locate QuickBooks in the available integrations list.
  2. Click Connect.

Step 3: Authorize Access

  1. You will be redirected to Intuit's secure authorization page.
  2. Review the requested permissions and click Connect (or Allow) to grant Supervity access to your QuickBooks.

Supervity uses QuickBooks's standard OAuth 2.0 authorization flow. Your QuickBooks credentials are never shared with or stored by Supervity.

Step 4: Complete Connection

After authorization, you will be redirected back to Supervity.

The QuickBooks integration will appear as Connected on the Integrations page. Your workspace can now securely access QuickBooks capabilities according to the permissions granted.

Permissions Requested

Supervity only requests the permissions required for enabled QuickBooks capabilities.

Depending on the features used in your workspace, permissions may include:

Permission TypePurpose
Accounting DataRead and write accounting transactions, invoices, bills, and payments
Contact ProfilesRead and write customer, vendor, and employee lists
Settings & ConfigRead company profile details, charts of accounts, and preferences
Offline AccessMaintain integration connectivity without requiring constant re-authentication

Supervity follows least-privilege principles and only accesses data necessary to provide requested functionality.

Authentication & Security

The QuickBooks integration uses OAuth 2.0 authentication.

Security controls include:

  • Encrypted credential storage (AES-256)
  • Scoped access policies
  • Token refresh and rotation support
  • Immediate revocation capabilities
  • Workspace-level governance controls
  • Complete audit logging
  • TLS 1.3 for all connection pipelines

All QuickBooks access remains subject to Supervity security policies and role-based permissions.

Managing the Integration

View Connection Status

From the left navigation bar, click the Integrations icon.

For QuickBooks you can view:

  • Connection status
  • Connected company file details
  • Last usage information
  • Associated workflows and operators

Reconnect QuickBooks

If QuickBooks authorization expires: Open the Integrations page from the left navigation bar. Select QuickBooks. Click Reconnect. Complete authorization again through the Intuit portal.

Existing workflows and operators do not need to be recreated.

Removing the QuickBooks Integration

You can remove the QuickBooks connection from your Supervity workspace at any time directly from within the Supervity platform.

Steps to Remove

Log in to Supervity. From the left navigation bar, click the Integrations icon. Locate and select QuickBooks from the integrations list. Click Disconnect. Confirm the action when prompted.

Implications of Removal

Once removed:

  • Supervity immediately loses all access to your QuickBooks account and data
  • No new QuickBooks data will be read or processed after removal
  • All active QuickBooks connections within your Supervity workspace are terminated
  • Scheduled or active workflows that depend on QuickBooks will stop executing
  • QuickBooks-dependent workflow steps will fail safely with clear error messages
  • Existing workflow definitions within Supervity are not deleted — only the active connection is terminated
  • Historical execution logs remain available for auditing purposes

Disconnecting QuickBooks does not delete workflow definitions, operators, or previously generated outputs.

How Your Data Is Handled After Removal

Data Handling on Removal:

  • Supervity immediately loses access to your QuickBooks account upon removal
  • No new QuickBooks invoice, transaction, or customer data will be collected or processed after disconnection
  • Temporary files processed during workflow execution are deleted after execution completes
  • QuickBooks access tokens and all account-related data are permanently deleted from Supervity's platform within 15 minutes of disconnection — no background access continues after removal

Auditing & Observability

All QuickBooks activity performed through Supervity is logged.

Audit records include:

  • Which operator requested access
  • Which workflow executed the action
  • Timestamp of execution
  • Success or failure status
  • Relevant inputs and outputs (sensitive values are redacted)

This supports compliance, troubleshooting, governance, and operational visibility.

Troubleshooting

If you encounter issues at any stage, refer to the steps below. For issues not covered here, contact the Supervity support team.

Authorization Failed During Setup

Likely Cause: Incorrect QuickBooks account used, or corporate tenant policies restricting third-party applications.

Resolution:

  1. Ensure you are signed in to the correct QuickBooks Online company account as an administrator.
  2. Return to Supervity → Integrations → QuickBooks and click Connect to retry.
  3. If the issue persists, contact your IT administrator.

Transaction Sync Failed

Likely Cause: Missing reference accounts, items, or mismatched tax settings in QuickBooks.

Resolution:

  1. Ensure that any line items, tax codes, or accounts referenced in the workflow exist exactly in QuickBooks.
  2. Check that the QuickBooks company configuration supports the transaction type.
  3. Review the execution logs in Supervity for specific error codes returned by QuickBooks.

Connection Expired or Token Invalid

Likely Cause: QuickBooks security policies may force token expiration or revocation.

Resolution:

  1. Go to Integrations → QuickBooks → Reconnect.
  2. Complete the QuickBooks authorization flow again.
  3. Existing workflows do not need to be reconfigured after reconnection.

Workflow Cannot Access QuickBooks

Likely Cause: QuickBooks may have been disconnected, or workspace governance policies may restrict access.

Resolution:

  1. Confirm QuickBooks is still connected under the Integrations page.
  2. Verify the workflow has permission to use QuickBooks within your workspace governance settings.
  3. Check that workspace policies allow QuickBooks execution for the relevant operators or workflows.

Frequently Asked Questions

Q: Can I connect multiple QuickBooks companies to Supervity?
